Offline Alternative to Otter.ai: Transcribe Meetings Without the Cloud
Otter.ai is one of the most popular meeting transcribers, and for a sales team that lives in Zoom and Salesforce it is a sensible choice. But it is a cloud service through and through: your recordings are processed and stored on its servers, every plan caps your minutes, and a bot joins your calls. If any of that is a problem — because of confidentiality, cost, or just not wanting a bot in the room — here is how an offline desktop transcriber compares, honestly in both directions.
The short answer
- Stay with Otter.ai if you want notes to appear automatically after every calendar meeting, shared with your team, and pushed into Slack, Salesforce or HubSpot. Nothing offline does that end to end.
- Switch to an offline transcriber if your recordings must not leave your computer, you transcribe more than Otter's monthly minutes allow, you work with long recordings or files rather than live calls, or you need languages Otter does not have.
- The 360Converter Offline Transcriber records both sides of a call without a bot, transcribes with speaker labels, and summarises with an AI model that runs on your PC or Mac. No minutes cap, no upload, a yearly license instead of a per-user subscription.
What Otter.ai is, and what it isn't
Otter is built around live meetings. Its Notetaker bot joins Zoom, Teams and Google Meet calls from your calendar, transcribes them in the cloud, identifies speakers, writes a summary with action items, and lets you ask questions across all your meetings. It is available on the web, iOS, Android, a Chrome extension and a Windows and macOS desktop app. The desktop app records without a bot, but it still sends the audio to Otter's servers; Otter documents no offline or on-device mode on any platform.
Three things follow from that design. Your audio and transcripts live on Otter's infrastructure (AWS, in the United States). Every plan has a monthly minutes budget and a per-conversation limit. And, by its own privacy policy, Otter trains its models on de-identified recordings and transcripts, with a documented opt-out only at the Enterprise level. None of this is hidden — it is simply the shape of a cloud product.

Where Otter.ai is better
- Zero-effort meeting notes. Connect your calendar and every meeting is transcribed, summarised and shared without you pressing a button. An offline tool needs you to start a recording.
- Team features. Shared workspaces, comments, searching and asking questions across everyone's meetings, and admin controls on Business and Enterprise.
- Integrations. Notes land in Slack, Salesforce, HubSpot, Notion and dozens of other tools. We integrate through a command-line tool and an HTTP API, which suits developers more than sales teams.
- Mobile. iOS and Android apps for recording in-person meetings on your phone. We are desktop only.
- Free to start, with no install. The free plan is enough to see whether you like it, and there is nothing to set up.
Where 360Converter is better
- Nothing leaves your computer. Transcription, speaker labels, summaries, translation and chat all run locally. There is no third-party copy of a client call, a patient consultation or an HR interview, and no training on your data. See every network connection the app makes.
- No minutes to count. Transcribe as much as you like, as long as you like, for one yearly price per computer rather than a monthly fee per user.
- No bot. It records your microphone, the other participants, or both, from any meeting app, so nobody sees an “Otter Notetaker” join the call and nobody gets an unexpected summary email afterwards.
- Built for files and volume. Long recordings, whole folders through Batch Process, watch folders, and programmatic requests over HTTP to a server on your own premises.
- Six times the languages, plus translation. 37 languages with auto-detect, and offline translation of the transcript.
- More export formats. Word, PDF, TXT, Markdown, HTML, CSV, XML, SRT, VTT and a project file, on every license.

Moving from Otter.ai
Export your existing conversations from Otter first (TXT on the free plan; DOCX, PDF or SRT on Pro and above), because deleting an Otter account removes them from its servers. Then install the Offline Transcriber, download the speech model once, and try a real meeting recording in the free trial. For calls, see how to transcribe both sides of a Zoom, Teams or Meet call live; for a backlog of recordings, see Batch Process. If you are leaving Otter mainly for privacy reasons, our guide to transcribing without uploading explains how to verify that nothing is being sent.
Try the 360Converter Offline Transcriber
Record both sides of a call without a bot, transcribe with speaker labels, and summarise with offline AI — all on your own Windows PC or Mac.

Does Otter.ai work offline?
Otter documents no offline mode. Its web, mobile, Chrome and desktop apps all send audio to Otter's cloud for transcription. If you need transcription without an internet connection, or without uploading, you need software that runs the speech model on your own computer.
Can I transcribe Zoom or Teams meetings without a bot joining?
Yes. The Offline Transcriber records the meeting audio playing on your computer (the other participants) together with your microphone, and can transcribe both live. Nothing joins the call, so other participants see nothing. Check your local rules on recording consent, which apply to any recording tool.
Is an offline transcriber as accurate as Otter.ai?
On clear audio, modern on-device speech models are in the same range as cloud services. Accuracy depends far more on microphone quality, background noise and people talking over each other than on where the processing happens. Try your own recording in both free versions.
How much does it cost compared with Otter.ai Pro?
Otter Pro lists at $16.99 per user per month, or $8.33 per month billed yearly, for 1,200 minutes a month. The Offline Transcriber is a yearly license per computer, from $69.90, with no minutes cap and no automatic renewal. For one heavy user the offline license is cheaper within the first year; for a team that mainly wants shared cloud notes, Otter's per-user pricing may still make sense.
Otter.ai details were taken from otter.ai's pricing, privacy and help pages in November 2026 and may change; a first-subscriber discount on Pro was being offered at the time. Otter.ai is a product of Otter.ai, Inc. and is not affiliated with 360Converter. If anything here is out of date, let us know and we will correct it.
