What You'll Need

Your meeting recordings (audio or video files) collected in a folder on your computer. Offline Transcriber supports common formats including MP3, MP4, WAV, M4A, FLAC, and more. No internet connection is required—everything runs locally on your device.

Step 1: Configure Batch Process Settings

Before adding your files, configure Batch Process to automatically export a summary for each recording.

  1. Go to Settings → Batch Process.
  2. Check the Auto Export Summary option.
  3. Choose TXT as the export format.
  4. Optionally, specify a folder where you'd like all summary files saved. This keeps your summaries organized in one place for easy access later.
Tip: Create a dedicated folder like "2025 Meeting Summaries" before starting. This makes it easy to locate all summaries when you're ready for the next step.

Step 2: Add Your Meeting Recordings

Open the Batch Process feature and add your meeting recordings. You have two options:

  1. Add individual files: Select specific meeting recordings you want to include.
  2. Add a folder: Point to the folder that contains all your meeting recordings. Offline Transcriber will automatically pick up all supported audio and video files in that folder.

Adding an entire folder is the fastest approach when you've kept all your meeting recordings in one location throughout the year.

Step 3: Run Batch Process

Start the batch process. Offline Transcriber will work through each recording—transcribing the audio and generating a summary for every file. Depending on the number of recordings and your hardware, this may take some time. You can leave it running in the background.

Once complete, you'll find individual summary text files in your specified output folder, one for each meeting recording.

Tip: If your recordings have multiple speakers, consider enabling Speaker Diarization in the batch process settings. This labels who said what in each transcript, producing more informative summaries.

Step 4: Generate the Annual Summary with AI Chat

Now that you have individual summaries for every meeting, use AI Chat to bring them all together into a single annual report.

  1. Open the AI Chat feature in Offline Transcriber.
  2. Attach or paste your meeting summary files into the chat.
  3. Give the AI a prompt describing what you want. For example:

    "Based on these meeting summaries from 2025, generate an annual summary that highlights key decisions, recurring topics, major milestones, action items, and overall themes."
  4. Review the generated annual summary. You can ask follow-up questions to refine or expand specific sections.
Note on large volumes: If you have a large number of meeting summaries (e.g., 50+), the AI Chat may not be able to process all of them in a single prompt due to context window limitations. In that case, try a two-step approach: feed summaries in smaller batches—such as by quarter—and ask AI Chat to generate a quarterly summary for each batch. Then, feed those quarterly summaries back into AI Chat and ask it to produce the final annual summary.
